Explore our high-impact Staff Assistant role supporting the Chief Data, AI & Operations (DAIO) Officer based in our Hartford, CT Home Office! We are seeking an adaptable, highly organized, and proactive professional to join our team. Key Responsibilities

  • Strategic Planning Support & Projects: Assist in the development and execution of strategic initiatives by providing research, analysis and administrative support.  Complete other ad hoc duties or special projects as requested, such as executive onboarding and coordinating office moves.

  • Executive Communication: Coordinates materials for Board, ELT, CEO, President where DAIO EVP is accountable for the materials.  Accountable for agenda creation, coordination and meeting facilitation of DAIO SLT bi-weekly meeting.

  • Executive Calendar Management: Organize and manage complex calendars and schedules for the Chief DAIO Officer, including meeting set-up, invitations, room reservations, technology, and meeting materials. Use decision-making skills to resolve potential schedule conflicts.  Proactively manages and coordinates the scheduling of leader meetings related to release management, which may necessitate work for weekend releases.

  • Staffing/Req Management: Facilitates the comprehensive management of talent requisitions across the organization, ensuring seamless coordination of open requisitions with hiring managers, recruiting, HRBP, Comp, and LPM function. Oversee tracking of requisition statuses and detailed reports to provide actionable insights to leadership.
    Voice of Frontline, Employee & Customer Initiatives: Partners with Strategy Execution to schedule and coordinate site visits, call listening sessions, focus groups and customer-centric initiatives.

  • CEO | Board Level Planning: Accountability for planning, preparation and the coordination of ELT agendas for various strategic engagements such as external partner meetings, Silicon Valley visits, bi-monthly Gen AI | Transformation sessions.   

  • Conference & Training Management: Manages External Conference Speaking Process for the broader organization.

  • Real Estate Management: Partners with Strategy and Innovation team for real estate moves across organization, and act as the liaison between Real Estate and leadership to plan, organize, and facilitate staff moves.

  • Stakeholder Coordination: Partner with various stakeholders and executive admin staff for the ELT and business leaders to gather data, understand timelines, and coordinate deliverables.

  • Operational Efficiency: Establish management and leader routines; track key initiatives and deadlines for the leader and executive team, ensuring follow-through and timely execution, inclusive of creating weekend book materials for DAIO EVP.

  • Large-scale Event Planning: Oversee large-scale event planning, including venue selection, attendee lists, invitations, agendas, catering, and expenses.

  • Travel and Expense Management: Manage domestic and international travel and expenses, including booking travel arrangements, itineraries/logistics, and processing expense reports.

  • Standards Development and Leadership: Develop standards and best practices for other administrative staff within Technology & Operations and serve as a leader and role model within that administrative community.

  • Reporting, Presentation & Document Management: Assists in maintaining distribution lists, organizational charts, and other team-related documents. Maintains DAIO Office of SharePoint site.

  • Confidentiality and Discretion: Use discretion, confidentiality, and sound judgment to handle C-Level matters.  Requires detailed knowledge of Tech & Ops organization as well as company policies and standards.

  • Technology: Expertly utilizes Microsoft Office, Workday, ARIBA, 365 and other key technologies and systems; acts as the point of contact and resource for other users.

  • Delegation and Approval: Act as the primary delegate for approving transactions and other related team matters.

  • Relationship Building: Build great rapport and relationships with functional partners, including the Senior Leadership Team, Finance, Human Resources and the administrative assistant community.

Qualifications

  • Seasoned Assistant: 10+ years of corporate administrative support experience in a high-visibility environment. 5+ years successfully supporting C-Suite/executive leaders (supporting technology executives is highly preferred).

  • Early Career/High Potential: 1–3 years of professional office experience, professional internships, or a strong track record of high-impact campus leadership (e.g., Student Government, peer advising, or university employment).

  • Bachelor’s degree preferred or equivalent practical professional experience.

  • Ability to support multiple competing priorities and execute end-to-end planning for timely delivery of key deliverables to the CEO, Executive Leadership Team, and/or the Board of Directors.

  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.

  • Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, and Teams) with the agility to quickly learn and adopt new technologies and systems.

  • Strong organizational skills reflect the ability to perform and prioritize multiple tasks seamlessly with strict attention to detail, data integrity, and accuracy.

  • Strong written and verbal communication and proofreading skills, with the ability to maintain absolute confidentiality when handling sensitive C-level topics.

  • Ability to analyze information, identify trends, and develop basic insights to inform leadership actions.

  • A highly resourceful team player who is equally effective working independently, always maintaining composure and a high degree of professionalism.

  • Ability to work flexible hours as dictated by the needs of the business for executive projects, weekend releases, and meetings.

Compensation

The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:

$105,600 - $158,400
