Office Operations & Legal Support Specialist

Role Overview

The Office Operations & Legal Support Specialist partners closely with the Managing Attorney to ensure the efficient administration and daily operations of the Staff Law Office. This role plays a key part in maintaining smooth workflows, supporting attorneys, and driving operational excellence across the team.

Location: Glen Allen Staff Law Office – Glen Allen, Virginia
Work Arrangement: Must be based in Virginia; remote or hybrid options available depending on proximity to the Glen Allen office

Key Responsibilities

Operational & Administrative Support

  • Manage the complete case‑opening and case‑closing processes with accuracy and efficiency.

  • Oversee document management and scanning workflows, ensuring strict adherence to established protocols.

  • Prepare and distribute periodic reports, communications, and operational updates for attorneys and staff.

  • Support office calendar, diary, scanning, and case‑matching activities.

  • Assist with compliance related to vendor protocols, including supply/equipment ordering and invoice processing.

Training & Technology

  • Assist with onboarding and training new employees, including instruction on litigation management platforms and AI tools.

  • Ensure all staff follow established file workflows, Standard Operating Procedures, and file‑support standards.

Legal Secretarial Support

  • Provide comprehensive legal secretarial support to Tort/Liability attorneys.

  • Maintain accurate calendars, dockets, and schedules to prevent missed deadlines or critical events.

  • Schedule depositions in a timely manner and manage rescheduling when needed.

  • Identify and escalate any issues or operational concerns to the Managing Attorney promptly.

Qualifications

  • Minimum of five (5) years of legal experience specializing in Tort Litigation.

  • Strong organizational skills and exceptional attention to detail.

  • Ability to manage multiple priorities in a fast‑paced legal environment.

  • Excellent communication skills and comfort working closely with attorneys and office leadership.

  • Proactive mindset with a commitment to accuracy, consistency, and process compliance.

  • Must be based in Virginia. Remote or hybrid arrangements are available depending on candidate proximity to the Glen Allen office.

Compensation

The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:

$58,400 - $87,600
